A financial services firm in Morristown, NJ is looking for an experienced Administrative Assistant to support their management team. This is a full time, permanent role with benefits.

RESPONSIBILITIES

  • Provide administrative support to the management team, including managing calendars, scheduling meetings, making travel arrangements, and completing expense reports
  • Answer and direct phone calls in an efficient, professional manner
  • Greet visitors and connect them with the appropriate person
  • Type, proofread, edit, and format documents
  • Assist with personal tasks for executives, including running errands and making appointments
  • Maintain organized digital and physical filing systems
  • Take meeting minutes and distribute them to stakeholders
  • Assist with event planning and coordination, both internal and external including booking venues, arranging catering, and managing RSVPs
  • Exercise discretion in dealing with sensitive information

REQUIREMENTS

  • Experience working as an administrative assistant corporate office environment
    Excellent communication skills both oral and written
  • Experience supporting management teams and managing multiple calendars
  • Strong organizational skills
  • High level of attention to detail
  • Experience making travel arrangements including flights, hotels, and car rentals
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) and QuickBooks
    Ability to multitask in a fast-paced environment
    Excellent time management skills
  • Event planning experience a plus
